Manually exporting reports and distributing them via email is time-consuming, inconsistent, and prone to errors.

Qlik Cloud Subscriptions help eliminate that hassle by allowing users to automate scheduled report delivery, ensuring that the right people get the right insights at the right time—without manual intervention.

Why You Need It

Every business depends on timely access to data—whether it’s for tracking performance, monitoring inventory, or managing financials.

But relying on manual report exports means wasted time and potential reporting gaps.

Here’s why automating report delivery with Qlik Cloud Subscriptions makes sense:

📦 Supply Chain & Logistics – Distribute real-time inventory status reports to suppliers, warehouses, and distribution teams.

💰 Sales & Marketing – Deliver weekly lead conversion reports or campaign performance updates directly to the team.

👨‍💼 Executives & Leadership – Set up high-level KPI dashboards to be sent to senior management on a weekly or monthly basis.

The Challenge:

A manufacturing company needs to send out a daily stock report every morning before production starts. The factory floor workers depend on this report to check current stock levels and ensure the right materials are available for the day’s production schedule.

Before using subscriptions, the operations team had to:

  • Log into Qlik Cloud each morning

  • Manually export the stock report

  • Format the report as a PDF

  • Email it to multiple teams before shift changes

This process took up valuable time each morning, and if someone forgot or was unavailable, production was delayed.

The Solution:

With Qlik Cloud Subscriptions, they set up an automated daily report that:

✅ Generates a stock update every morning at 5:00 AM
✅ Sends the report as a PDF via email to all manufacturing supervisors
✅ Ensures every shift starts with the latest inventory information

The Result:

  • Time saved – No more manual report exports

  • Increased efficiency – Teams start the day with the right data

  • Reduced errors – No risk of forgetting to send the report

By automating the stock report, the company eliminated a manual bottleneck, ensuring that production teams always have up-to-date information without delays.

How to Set Up Qlik Cloud Subscriptions

Step 1: Enable Subscriptions in Qlik Cloud

Before users can create subscriptions, an admin must enable the feature in the Qlik Cloud Management Console:

  1. Navigate to Administration Settings Sharing and Reports

  2. Toggle Subscriptions – Charts and Sheets to ON

  3. Ensure that users have the necessary view permissions for the apps they are subscribing to.

Step 2: Create a Subscription for a Sheet

To receive a scheduled report of an entire dashboard, you can subscribe to a sheet.

  1. Open the Qlik Cloud app containing the sheet you want to subscribe to.

  2. Click the “...” menu at the top-centre of the sheet.

  3. Select Subscribe to Sheet.

  4. Enter a title and description for the subscription.

  5. Choose the delivery Format (PDF or PowerPoint).

  6. Set a send email schedule (Daily, Weekly, Monthly).

  7. Add recipients with Share With Others (they must have access to the app).

  8. Preview (if needed).

  9. Click Subscribe.

Step 3: Create a Subscription for a Chart or Visualization

If you don’t need a full dashboard, you can subscribe to a specific chart or KPI, and it’s a familiar process:

  1. Right-click on a visualization (chart, KPI, table, etc.).

  2. Select Subscribe.

  3. Follow steps 4 - 9 from Step 2☝️☝️

Step 4: Manage & Edit Subscriptions

Once a subscription is set up, it can be modified at any time. But you’ll obviously only be able to to do certain things unless you won the Subscription.

  1. Open the Waffle Menu in the top left hand corner.

  2. Click on Subscriptions in the left popout menu.

  3. Click ‘…‘ on your desired Subscription to:

    • Edit Subscription (only if you own it!)

    • Send the report immediately

    • View recipients or schedule

    • Disable or delete the subscription

⚠️ Limitations and Gotchas!

It’s important to note that Subscriptions are not a silver bullet, and there are some volume based restrictions to think about.

Here’s a few of the biggies:

  • Each subscription can have a maximum of 100 recipients.

  • You can create up to 100 subscriptions in total.

  • Each subscription can include up to 10 sheets​.

  • Recipients must have access to the Qlik Cloud app to receive reports.

  • If a recipient does not have access to the app, they will be added to the subscription but will not receive reports until access is granted​.

Pro Tips for Subscriptions

To get the most out of Qlik Cloud Subscriptions, here are a few key tips to improve efficiency and avoid common pitfalls:

  1. Schedule Reports After Data Updates – Make sure reports are sent after your Qlik data refresh completes.

    ⭐ Sending reports before the latest data is available can lead to outdated insights and confusion.

  2. Keep It Focused – Avoid overwhelming recipients with excessive reports. Stick to key metrics that drive decisions.

    ⭐ If a report isn’t being opened regularly, reconsider whether it’s needed.

  3. Ensure the Right People Get the Right Data – Subscriptions don’t override user permissions, so make sure recipients have access to the underlying Qlik app.

    ⭐ If someone leaves the company, their subscriptions won’t auto-disable, so review them periodically.

  4. Combine with Alerts for Actionable Insights – Subscriptions send reports on a fixed schedule, but they don’t notify you when something needs urgent attention.

    ⭐ Pair them with Qlik Alerts (coming soon to this newsletter!) to flag key metrics that require immediate action.
